The problem, measured

What the research says about space utilisation

Independent workplace research documents the gap consistently. What is usually missing is the instrumentation to measure it in your own building.

56%

Global office space utilisation

Just over half the space organisations pay for is actually in use. The rest is rent against an empty room.

Specialised rooms: actual vs target

Technical and specialised rooms run at 45% against a 72% target: a 27-point gap that nobody can see without measurement.

Organisations above 80% utilisation

Only one organisation in eight uses its space more than 80% of the time. The other seven are deciding without the data.

Space utilisation is the metric corporate real estate executives use to make workplace decisions, ahead of everything else.

What closes the gap

Utilisation cannot be managed without measurement

Every one of these exists because a room, a calendar and the person walking towards it were telling three different stories.

01

Find the right room

Reserve the perfect space for your needs, considering room functionality, amenities and capacity, from your current calendar apps, the truRooms manager, or navigator signage.

02

Increased visibility & wayfinding

Availability is shown where your team needs it: on the panel outside each room, on navigator signage through the building, and inside the calendar they already use. The information is present at the door, not waiting inside a system somebody has to go and open.

03

Tailor-made for the Indian landscape

Functions such as the reception portal align with the realities of Indian organisational constructs.

04

Multi-domain support

Our calendar add-ons enable booking of meeting rooms across multiple mail domains with zero sync errors, guaranteed.

Two deployment routes for room scheduling

The right option is usually determined by your building rather than by preference. Both are set out in full below.

A powered scheduler is expensive hardware, and the panel is only where the cost starts. A network drop, containment and the labour to install one at every door come on top of it, then the power it draws for as long as it runs. E-paper carries none of that: no electrician, no shutdown, no power bill.

Battery-powered e-paper panels on BLE 5.0, running the same truRooms scheduling. Power is drawn only to change the image, never to hold it, which is why one runs for years with nothing behind it.

02 / THE CALENDAR

truRooms Calendar Add-On, booking inside the calendar they already use

Not a portal you ask people to log into. An add-on opened from the calendar itself, in Outlook, in Teams and in Google Calendar. It is one of two routes: an organisation runs the calendar sync or the add-on, whichever suits its estate. Get in touch with our solution architects to understand the difference.

A room booked in three clicks

No invite or calendar booking needed for an ad-hoc meeting. Three clicks and it is done.

  • Reschedule the meeting and the room booking moves with it
  • If the room is busy at the new time, an alternative is assigned
  • Cancel the invite and the reservation is released

How it behaves

Automation truRooms runs on your behalf

Capability by capability, the automation that runs without administrative intervention.

01

The booking is bound to the meeting

Third-party booking tools drift from the calendar the moment a meeting moves. The truRooms add-on lives inside Outlook and Teams, so the room is attached to the event itself, not to a parallel record someone has to reconcile.

OUTLOOKROOMS10:0011:0012:00Quarterly Planbound to the eventMeridianassignedHarbourfree
Calendar-native booking

Move the meeting and the room moves with it. If the original room is busy at the new time, an alternative is assigned automatically, and cancelling the invite releases it.

02

A scheduler where no cable can go

The e-paper option runs the same truRooms scheduling, on a panel with nothing behind it. Power is drawn only to change the image, never to hold it, which is how a scheduler survives years on a battery in a floor you are not allowed to drill. It syncs in real time with every leading calendar platform, and the template on it is yours to design.

Every room, every free slot, one screen

Availability is read live from the resource calendars, so what a booker sees is what their colleagues see. No opening four calendars side by side to find a gap that turns out to be taken.

04

Invites that arrive carrying the context

Add an external attendee and the invite gains the office location, the room’s capabilities, and the guest Wi-Fi and visitor pre-registration steps. Custom fields and links of your own travel with it too: a gate pass, a parking note, an NDA, a floor map. Nobody is sending a location over WhatsApp an hour beforehand.

Supercharged invites

The invite leaves carrying everything the room and the guest need: where the office is, what the room can do, Wi-Fi and visitor pre-registration. External attendees arrive prepared instead of arriving lost.

05

Which spaces earn their square footage

The same month of bookings cut by room, by capacity and by feature. When someone asks whether the fourteen-seater is worth keeping, or whether anybody books the room with the whiteboard, the answer is a number rather than a view.

Utilisation analytics

The same month of bookings, cut three ways: which rooms get used, which sizes get used, and which features get asked for.

06

Reporting that runs without an analyst

Utilisation, adoption and booking patterns are generated automatically and delivered to the people accountable for the estate, on a daily, 7-day, 30-day, 60-day or custom cycle. The reporting arrives as a standing input to a facilities review rather than as a request someone has to raise.

Scheduled reporting

Pick a period and the report builds itself, covering meetings, adoption, booking patterns, no-shows, then arrives on the schedule you set, without anyone exporting a spreadsheet on a Friday.

Choose better. Achieve more. Faster.

Make your screens work for you. Make your spaces as efficient as the people using them.
