The economics

What comes off your scheduler BOQ

A wired scheduling panel is expensive hardware, and the panel is only where the cost starts. The electrician, the containment, the network drop and the permissions to run it all come on top, then the power it draws every year after. An e-paper panel needs none of that.

What makes ElhiTech e-paper room schedulers so economical?

E-paper scheduler

60 kg

of CO₂ avoided per room, per year, after the floor’s own gateway

  • No panel wiring
  • No install labour
  • No network drop
  • No mains draw at the panel
Wired LCD panel

88 kWh

drawn per room, every year it runs

  • Panel, bracket and mains supply
  • Electrician, containment and labour
  • A network drop to every door
  • Landlord permissions to run it

* Indicative savings, not a quotation. Calculated on the assumptions below, which vary by site, specification and vendor. Electricity and CO₂ are per year and recur for the life of the deployment; the upfront saving is one-off.

What this is calculated on

  • Commercial electricity tariff, India: ₹10.31 per kWh: GlobalPetrolPrices, India electricity prices for business, December 2025 source
  • Grid emission factor: 0.727 kg CO₂ per kWh: Central Electricity Authority, CO₂ Baseline Database for the Indian Power Sector, v21.0 source
  • Powered panel draw: 10 W continuous: Within the 12.95 W delivered to a device under IEEE 802.3af Power over Ethernet source
  • Hardware and installation pricing: ElhiTech planning estimates. Pricing varies by site, specification and vendor, so these are indicative rather than a quotation.
  • Comparison basis is a 10-inch powered panel outside each room, running continuously, against battery e-paper with one gateway per floor.

Why e-paper

A scheduler where no cable can go.

Battery-powered e-paper panels on BLE 5.0, running the same truRooms scheduling. Power is drawn only to change the image, never to hold it, which is why one runs for years with nothing behind it.

Two truRooms e-paper room panels, one showing the room free with a QR code to book it and one showing it booked.

2–5 years on a battery

No cabling, no electrician, no landlord conversation

Real-time sync with every leading calendar platform

The software

Booked from the calendar you already use

The panel is only the part you see. Booking happens in Microsoft 365 or Google Workspace, so nobody adopts a new portal and nobody is retrained, and a booking made in the calendar reaches the panel outside the door.

In their words

Already running in Indian offices

Integrating truRooms into our collaboration infrastructure has been a game-changer for us. As a conglomerate with a complex IT environment, managing distributed mailing accounts made room scheduling a challenge. truRooms’ native multi-domain support has been a perfect solution, simplifying our scheduling process while significantly enhancing the user experience.

truRooms has been a fantastic addition to APL Apollo’s office environment. Integrating with Office 365 was seamless, thanks to their central utility, ELM. We managed to configure all our devices from a single laptop, without needing to physically access each screen. To top it off, truRooms not only boosts our operational efficiency but also enhances our office aesthetics.

While you are there

The same hardware puts the booking on the desk

A hot-desk system nobody can see is a hot-desk system nobody trusts. Hotdesk Tags are the same e-paper panels at desk scale, reading from the hot-desk platform you already run, on the same gateways going in for the rooms. A floor of two hundred desks needs no extra cabling and no second visit.

  • Desk name, occupant and booking window on the desk itself
  • A QR on every tag books the desk you are standing at
  • Reads from your existing booking software, not a second system
  • 3+ years per tag, 3000+ tags per gateway

Questions

Frequently asked questions

Does it really run without power at the door?

Yes. The panel is battery-powered and talks over BLE 5.0. E-paper draws power only to change the image and none at all to hold it, which is why a single battery lasts 2 to 5 years. There is no cabling, no electrician and no conversation with the landlord about running containment to a glass door.

How do people book a room?

From the calendar they already use. truRooms works with Microsoft 365 and Google Workspace, so a booking made in Outlook, Teams or Google Calendar reaches the panel outside the door.

How long does installation take?

Minutes per room. The panel mounts to glass, plaster or a partition and pairs with a gateway on the floor. A floor is typically live the same day, with no downtime and nothing to re-cable when the layout changes.

What sizes are available?

Three. Desk and hot-desk labels at 4.2 inches. The default room scheduler at 7.3 inches. Boardrooms and floor directories at 11.6 inches. All three are drawn to scale further up this page, with their measurements in millimetres and pixels.

Can it run on our own servers?

Yes. truRooms runs in the cloud by default, and on-premise deployment is available for government bodies and enterprises whose policy will not allow room and attendee data in a vendor tenant. Speak to our solution architect about which one your policy allows, and what changes between them.

Can the same system handle hot-desking?

Yes, and on the same gateways. Hotdesk Tags are the same e-paper hardware at desk scale, reading from the hot-desk booking platform you already run. Rooms and desks can be deployed together or one after the other.
